How to empower your team – the three levels of delegation and ownership

As a seasoned business coach with over 20 years of experience, I’ve seen one of the biggest challenges that business owners face is effectively delegating tasks and ownership to their teams. Delegation is not just about handing out tasks; it’s about empowering your team members and fostering a sense of responsibility within them. In this blog, we will explore the three levels of delegation and ownership, and how mastering these levels can lead to scaling your business operations and creating a self-reliant team.

Level One: Delegating Tasks

At the first level of delegation, the focus is on assigning tasks to team members. This is the most basic form of delegation, and most business owners are familiar with it. You distribute specific responsibilities to individuals, and they execute those tasks as instructed. In this stage, you are the central point of communication and decision-making.

For example, you might assign tasks to Jon, Eden, Richard, and Bethany, and they go off to work on their respective assignments. While this level lays the groundwork for delegation, it may not fully utilize your team’s potential, and it can be time-consuming for you to oversee every detail.

Level Two: Delegating Ownership of Functional Areas

Moving up to the second level of delegation, the dynamics change significantly. Here, you’re not just handing out tasks; you’re entrusting ownership of functional areas to your team members. This means assigning ongoing responsibilities and allowing them to take charge of those areas.

Imagine giving Richard ownership of a specific aspect of the business and telling him, “Richard, I want you to take charge of this area. It’s your ongoing responsibility.” Richard may then delegate some tasks to Eden, creating a bi-directional relationship between them. Similarly, you might delegate responsibilities to Bethany, granting her functional ownership of certain business areas. She, in turn, may delegate tasks to other team members, fostering a network of ownership and delegation.

At this stage, communication becomes more diverse and inclusive, with team members interacting and collaborating with each other. You are no longer the sole hub of information but rather a facilitator of effective teamwork. With some practice, you can reduce the time spent managing tasks and projects and focus on strategic aspects of your business.

Level Three: Ownership of Responsibility

The highest level of delegation is all about instilling a strong sense of ownership and responsibility within your team members. Here, you empower them to take charge of entire areas of the business, with minimal direct involvement from you. This is where you transition from owning a business to having a business that works for you.

In this stage, you might grant Jon, Bethany, and Eden significant responsibilities and ownership of different business aspects. The relationships become multi-directional, allowing them to collaborate and make decisions independently. For instance, Jon and Bethany might work together on certain projects without requiring your intervention. They are empowered to make decisions that are beneficial to the company.

Furthermore, as the business evolves, you may add new members, like Richard, who will take ownership of additional functional areas. This decentralization of responsibilities fosters a self-sustaining and proactive team dynamic, allowing you to focus on higher-level strategies and growth opportunities.
